Time Management Strategies for Busy Professionals.

Ever feel like there just aren't enough hours in the day? You're not alone. The struggle is real, especially for busy professionals. Effective time management isn't about superhuman feats or squeezing every last second dry. It's really about strategizing, prioritising, and building habits that spur you to achieve your goals – both professional and personal without sacrificing your well-being on the already bloodied altar of work.


Here are some time-tested, practicable strategies you can implement:


1. Understanding Your Time Thieves: The concept of Time Thieving has long been studied and can be summarised to mean behaviours, situations, and environmental elements that make us waste our valuable time. They’ve been classified into external and internal time thieves, but the truth is if you’re wasting your time, you may have a self-management problem, and the first step is to acknowledge this.


Reflect on your current situation:

  • Do you constantly reach Fridays feeling like you've accomplished little? This might point to a lack of focus on high-impact tasks.

  • Are you bombarded with interruptions? This could signal the need for better organisation and boundaries.

  • Do you find yourself putting things off? Unrealistic deadlines or fear of failure might be the culprits.

By pinpointing your specific time management challenges, you can develop targeted strategies to address them effectively.


2. The ‘Effective’ To-Do List: Everyone loves ticking a list, it brings this feeling of fulfilment that may actually push you to tick off the next task. We’ve come to understand that a to-do list is simply every and anything you have to-do, but because ‘take my bath’ was on my to-do and I ticked it off doesn’t mean it was an effective list. Here are some steps to creating an effective to-do list:


  • Prioritise ruthlessly: Not all tasks are created equal. Use frameworks like the Eisenhower Matrix to categorise tasks by urgency and importance. Focus on tackling the most critical tasks first, and delegate or eliminate less important ones (professionally, of course!).

  • Break it down: Overwhelming tasks are a recipe for procrastination. Break them into smaller, more manageable steps. This will give you a clearer sense of progress and keep you motivated.

  • Be realistic: Don't overload your list. Be honest about how much you can realistically accomplish in a day.


3. Prioritisation or The "What Matters Most" Principle: Now that you have a clear understanding of your priorities, you need to get thoroughly familiar with the art of prioritisation. Myles Munroe will say our life is the sum total of all the decisions we make every day, and those decisions are determined by our priorities. Here's the key: there will always be more on your plate than you can possibly complete in a day.  So, let's shift our mindset from simply ‘making a list’ to strategically prioritising the tasks that will move the needle the most in our careers and personal life. Prioritising is a daily must-do, but it can be learned and here’s a few ways to do that:


  • The Pareto Principle (the 80/20 rule): This principle states that roughly 80% of your results will come from 20% of your efforts. Identify the 20% of tasks that will yield the most significant results and dedicate the bulk of your time to those.

  • The Eisenhower Matrix: This powerful tool helps you categorise tasks based on urgency and importance. Urgent and important tasks require immediate attention. Important, but not urgent tasks can be scheduled for dedicated focus time. Urgent, but not important tasks can often be delegated, and non-urgent and unimportant tasks can be eliminated altogether.

  • Embrace the power of "no": It's okay to say no to requests that don't align with your priorities. Explain your situation politely and offer an alternative solution when possible. Remember, safeguarding your time allows you to focus on tasks with the highest impact.


4. Technology is still your friend: And if you need a little help along the way, remember that technology can be your friend (not foe) when it comes to time management. Here are a few examples: 


  • Project Management Apps: Asana or Trello can help you organise your tasks, track progress, and collaborate effectively with teams.

  • Time Tracking Apps: See where your time goes! Tools like Toggl or RescueTime can help you identify areas for improvement and optimise your schedule.

  • Calendar Apps: Utilise calendar apps like Google Calendar or Apple Calendar to schedule tasks, manage appointments, and set reminders.


The key to success is finding tools and resources that suit your specific needs and working style. Don't be afraid to experiment and find what works best.
